A Grade 9 application asks for two kinds of work from two kinds of people. The student is asked to sound like themselves on paper and across a table. The adults are asked to run the portal accounts, the calendar and the paperwork, a job that tends to produce a calendar too big for the refrigerator door.

Things go wrong when the jobs blur: a parent starts polishing the essay, or the student ends up carrying every deadline.

The other difficulty is that no single checklist is right for every school. Each school decides its own requirements, including whether it wants a test at all, so the dependable plan is a short shared outline with each school's own page supplying the details.

This overview covers private day-school applications; public specialized high schools and boarding schools follow separate paths.

Is Grade 9 an entry point or a vacancy?

At many NYC private high schools, Grade 9 is a planned entry year: the school expects to enroll new students and builds its process around it. Trinity describes about 60 new Grade 9 students. Fieldston describes 35 to 40 openings for new students in a class of about 160 to 165.

At other grades, whether a place exists depends on the school and the year, so read that grade's own page before assuming either way. Those numbers count places, not odds. The school list guide compares more schools and how each welcomes newcomers.

Who decides, and who does what

Choosing a school is a family decision with a strong student voice in it. Adults hold real constraints, such as cost, commute, support needs and sometimes a sibling's schedule. Inside those limits, the student's reaction after a visit should be able to move a school onto the list or off it.

The adults' work is logistics: accounts, calendars, registrations, aid paperwork, and requests for teacher forms and records. The student's is whatever the school will read as theirs: the interview, any assessment, the activities list and writing presented as the applicant's own. Parent statements are the adults' writing and stay separate.

Keep authorship with the student, and check each school's rules about help. Packer explicitly prohibits help with its student essay from anyone, including parents, guardians, teachers and AI. If another school's page leaves you unsure about feedback, ask admissions before offering it. The essays guide and parent statement guide cover each kind of writing.

A fall in four moves

Most of the season fits into four moves, and several of them run at the same time.

  • Build the list together, with cost, commute and support needs on the table from the start.
  • Keep one calendar per school, in that school's own dates, tracking application, tests, teacher forms, aid and reply separately. Teacher requests and aid paperwork run alongside the student's writing, not after it. The Grade 9 timeline puts this cycle's dates in order.
  • If testing accommodations might be needed, start that request first, because approval comes before test registration.
  • Finish early and check each portal to confirm every piece arrived, since schools need time to process and mark items complete.

Dates that look alike and aren't

Several different dates get called 'the deadline.' Initial application and complete-file deadlines can differ. The file deadline is when every supporting piece must be in. Aid has its own application and deadline, and decision and reply dates come last.

ISAAGNY, the Independent Schools Admissions Association of Greater New York, sets a shared timeline. For applications completed by Friday, January 8, 2027, Grade 9 notification comes no earlier than 4 p.m. on Friday, February 19, with parent replies due by noon on Thursday, March 11. January 8 is a completion date, not a start date.

Use each school's own dates when they differ from the shared timeline. The timeline guide lists each school's application, file and decision dates for this cycle.

Some schools offer Early Notification to eligible connected families, such as siblings, children of alumni or children of staff. Check the school’s Grade 9 eligibility rules and earlier calendar if that applies to your family.

Where one checklist breaks

No two schools ask for quite the same file. Tests, teacher forms and the activities list are where they differ most, and the next three sections take them in turn.

Visit formats vary too. Chapin offers a student interview only, with no parent interview, while other schools build parent conversations into the visit. The interviews and visits guide compares formats and booking dates school by school.

ISEE, SSAT or neither

Which test is required is each school's call, not the test provider's. Check every school's page and write down exactly what it names. A student applying to both Dalton and Chapin prepares for two different evaluations.

ChapinNo ISEE or SSAT; please don't send scores. Chapin gives its own in-person math and English assessment.
CalhounRecent standardized testing, with the ISEE recommended. An alternative normalized assessment may be considered, so ask before substituting.

If every school on your list accepts either test, choose by your child's comfort with the format and your calendar, then stay with that test. If two schools seem to disagree, ask both offices before you book.

A student now in 8th grade takes the Upper Level of both the ISEE and the SSAT. The ISEE allows one sitting per season (August to November, December to March, April to July), so a September test can't be retaken in October. The SSAT caps sittings by test mode within an August-to-July testing year.

Accommodations for either test need the provider's approval before you register, and a school's own arrangements do not carry over. SSAT Accommodated Standard registration closes 14 days before the test, against three days for general registration. Approved ISEE accommodations aren't flagged on the report.

When the report comes, remember that a percentile is not the share of questions answered correctly. ISEE percentiles compare your child with same-grade independent-school applicants from the past three years. SSAT percentiles compare with first-time takers in that grade, so don't convert one test's percentile into the other.

ISEE stanines sort results into nine bands, and the report shades one band either side to show measurement uncertainty. The SSAT provider points families to the scaled score as the steadier number. No score is universally good, and no cutoff works everywhere.

Consider a retake only for a specific, fixable issue, such as pacing or a question type your child hadn't practiced, and work back from your earliest score deadline. No retake promises a gain.

For the SSAT, no one sees scores until a parent completes the Testing Experience Statement in the parent account. You can choose which SSAT sitting to send. The ISEE sends only a complete report, though adding recipients later costs nothing. Ask each school how it reads several sittings.

Teacher recommendations

The shared ISAAGNY forms go to your child's current English and math teachers, plus a counselor, principal or other administrator who is not a classroom teacher. ISAAGNY asks families to wait until after November 1 to request the English and math forms, so teachers know your child. The administrator form carries no such wait.

Use October to confirm the teachers, their email addresses and your school's own steps. For ISAAGNY requests, the teacher gets a secure link and completed forms go directly to schools. They are confidential, so you won't read or edit them. Checklists update only after processing, so check timing before sending a duplicate request.

Saint Ann'sISAAGNY English and math evaluations; the counselor form only if your child has regular contact with a counselor, division head, grade dean or principalJanuary 8, 2027

Chapin wants a separate form for English and for math even when one teacher covers both. Saint Ann's names an email address for its forms, admissions.materials@saintannsny.org, with the applicant's name and grade in the subject line.

The ISAAGNY additional recommendation is optional. It suits a coach, an extracurricular leader, or a teacher from another subject or year who sees a side of your child the required forms can't. Saint Ann's invites one, and Dalton lists extra recommendations among optional materials. Spence asks families not to send personal letters of recommendation.

If no administrator can speak to your child, ISAAGNY says to contact the admissions office. If a teacher goes on leave or your child changes classes midyear, ask each school about your case, since there is no shared rule.

The activities list

Several schools ask for a short list of the student's interests and activities, separate from the essays. Open the portal and read the actual fields before drafting anything, because a field limit beats any advice.

Horace Mann's 'up to five' is a ceiling, not a quota. Describe each item with four plain facts: what the student does, their role if it is real, how long, and how often. 'Trumpet since fourth grade; plays in the school jazz band on Thursdays' says more than 'Music' ever will.

Pick items your child could happily talk about for two minutes, because an invented title wobbles at the first friendly follow-up. Family duties and private hobbies belong if they are a real part of the week and fit what the form asks.

Read whether the school wants the student to complete the list independently, and ask admissions if that is unclear. Where help is allowed, a parent asks questions and the words stay the child's.

Saint Ann's invites optional extras by January 8, 2027, such as links to artwork, films or music recordings, sent to admissions.materials@saintannsny.org with the applicant and entry grade in the subject. For any other school, ask before sending files.

Aid, support and the daily trip

Financial aid is a second application with its own forms and deadline, often handled through a platform such as Clarity. Trinity and Packer, for example, set January 8, 2027 for aid, with Packer's due by noon. Ask each school for the full annual bill, since some charge separately for testing, meals, transportation or uniforms.

If the student receives learning or other support now, ask what each school provides and whether it is included in the quoted price. Expect to reapply for aid each year, and compare actual award letters before committing. The aid guide has the details. Ask early whether application and testing fees can be waived.

Schools that primarily serve students with learning differences or disabilities may admit on a rolling basis, so the shared calendar may not describe them.

Commute belongs in the budget too. These are day schools, and Trinity, for instance, requires students to live full-time with a parent or guardian within commuting distance. The school list guide covers testing the route at the real hour.

Decisions, waitlists and deposits

The reply window is short, and the adults' logistics job returns in force. Put each offer, its aid award, the full bill and the reply hour on one page, and compare them with your student. Noon means noon.

HotchkissMarch 10April 10

NYC's public dates are subject to change. Hotchkiss's April 10 reply date doesn't extend any other school's deadline, so you may need to answer the others first.

A deposit holds the seat, and the contract spells out what you owe if plans change. Before the deadline, ask what is due now and later, the actual refund and withdrawal terms, whether the deposit shrinks with aid, and who has to sign.

Packer, for example, asks for an enrollment contract and deposit by its reply deadline. Its cost page lists a 10% deposit, adjusted for families receiving aid, within its 2026–27 figures. Compare that with the contract you actually receive.

Binding rounds are different from friendly letters. Avenues' First Choice round, with decisions on December 11, 2026, is binding: admitted families agree to enroll and withdraw other applications. ISAAGNY's agreement says a 'first choice' letter does not bind parents.

If the student attends an ISAAGNY member school and is applying to another member school, the current school cannot require re-enrollment before the regular notification date. Any aid offered for re-enrolling must be preserved in full.

A waitlist is not an offer, and no one outside the admissions office can tell you your chances. Ask the school what it can share and when it expects to know more. Then plan as if the seat you hold is the seat you have, and don't miss an offer's deadline for a waitlist hope.

ISAAGNY's one-week minimum response time covers postseason applicants, not every waitlist offer, so ask how long you would have. An earlier enrollment contract can still commit you financially; read it before responding to a later offer.

In NYC public high schools, a waitlist spot means no offer, and the nine specialized high schools don't use waitlists. A public waitlist offer gives you seven calendar days, and accepting it replaces your current offer.

An aid appeal is a request, not a pause button, so assume the reply date stands unless the school confirms otherwise in writing. Avenues' appeals, for example, require new information, a detailed monthly budget, a letter and documentation of unusual circumstances.

Use revisit events to test the one worry that could change your answer, such as cost, commute, workload or support. A workable September is the seat you could fund and live with if every waitlist stays quiet.
