The regional framework
ISSFBA, BADA, and BAIHS create coordination—not one application.
Verified fact: ISSFBA says it supports families applying to more than 110 member schools across San Francisco, the Peninsula, Marin and North Bay, and the East Bay. It is a regional starting universe, not a guarantee that every private school is a member or uses its calendar.↗
Verified historical framework: The BADA principles sheet says participating K–8 admission directors use common decision dates and accept Common Confidential Student Evaluation forms. The BAIHS principles sheet describes a collaboration of nonprofit high-school admission offices that recommends common application, decision, reply, aid, and Decision Week practices. Both public PDFs carry older cycle labels, so their role is reliable background and their old dates are not Fall 2027 facts.↗↗
| Clock | Current examples | Family rule |
|---|---|---|
| K–8 cooperative pattern | SFFS, Head-Royce, MCDS, San Domenico, Marin Horizon, and St. Paul’s publish March 11 decisions. | Do not infer the reply date; it varies by school. |
| Independent high-school pattern | UHS, Menlo, Castilleja, Head-Royce, Athenian, Branson, Marin Academy, and San Domenico day publish March 12. | Check “after 4,” deposit time, and earlier aid reply. |
| Different current cycle | Harker uses March 12 for all divisions; BASIS Fremont uses December early TK and March 17 regular decisions. | Never overwrite a school page with a regional pattern. |
| Boarding layer | Athenian publishes March 10 boarding; San Domenico publishes March 5 regular boarding and a separate early international cycle. | Day, boarding, and international may be different tracks. |
Editorial inference: “Decision Week” is the closest thing to a common finish line. It does not create a universal portal, testing rule, interview format, age cutoff, financial-aid system, late-application right, or deposit term.
Capacity without mythology
Use what a school says about growth—not what an open dropdown implies.
A listed grade can mean a planned expansion, an attrition-only opening, or simply permission to submit. The strongest public signal is a school’s own count or explicit “main entry point” language. When a current count is absent, capacity remains unknown.
| Region and school | Verified Fall 2027 signal | What it does not prove |
|---|---|---|
| SF · San Francisco Friends · K | Main entry; 44 new Kindergarten students. | No published applicant odds. |
| SF · San Francisco Friends · Grades 5–6 | Main middle-school entries; adds 6–10 students per grade. | Grade 7–8 availability remains attrition-dependent. |
| SF · University High · Grade 9 | Generally about 135 students in the entering class. | A class size is not an individual probability. |
| South Bay · Harker · K | Typically 57 openings. | It does not remove the required cognitive assessment. |
| South Bay · Harker · Grade 6 | Main entry; 45–50 spaces. | Grade 7–8 openings are limited and attrition-based. |
| South Bay · Harker · Grade 9 | Main entry; 50–55 spaces. | Grade 10–11 inquiries are not the same pipeline. |
| Peninsula · Menlo · Grades 6 and 9 | About 72 new sixth graders and 82 new ninth graders. | Other grades are space-available; Fall 2027 Grade 10 is the only transfer grade named. |
| Peninsula · Castilleja · Grade 6 | Earliest entry; approximately 60 spaces. | Applications to Grades 7–11 do not carry a published opening count. |
| East Bay · Head-Royce · K and Grade 6 | Only these grades have a published sibling/employee early-consideration track. | That is an entry signal, not a public capacity number or guarantee. |
| Marin · Marin Country Day · Grade 6 | Grade expands; approximately 25 new students. | Grade 5 is limited; Grade 7 is attrition-based; Grade 8 is closed. |
| Marin · Marin Academy · Grade 9 | Current admissions page lists 115 students in the ninth-grade class. | The school does not publish individual odds on that page. |
| Marin · Branson · Grade 9 | Branson is a four-year high school with the shared March 12 clock. | The current apply page publishes no opening count. |
“Is this a planned intake grade for Fall 2027, an attrition-only grade, or a grade where you do not yet expect an opening?” A portal’s grade menu answers none of those questions by itself.
The 2027–28 master calendar
Work backward from the first gate—not the final submit button.
| Window | Adult work | Child-sized work | Risk to close |
|---|---|---|---|
| Spring 2026 | Confirm applying grade and age rule; map four realistic commute zones; estimate full cost and aid need; ask current school how and when it sends records and recommendations. | Notice what kinds of classrooms, pace, community, arts, sports, and support feel energizing. | A school list built on reputation but impossible on a a regular school morning. |
| June–July | Collect past report cards, testing or evaluation documents, household calendars, custody/contact facts, tax records, and relocation constraints. Do not request confidential forms yet unless the current school says to. | Keep summer normal. Older students can make a short “what I want next” list without drafting application prose. | Missing documentation for accommodations or aid. |
| August–September | Open one Ravenna family account, add both households where applicable, explore schools, and log separate application, aid, testing, interview, records, decision, and reply dates. School openings range from August 17 to September 1 in the representative set. | Grade 9 students begin their own activity history and voice notes. Younger children do nothing performative. | Waiting for an open house before noticing a booking gate. |
| October | Drive real commutes, attend a small number of useful events, submit preliminary forms that unlock visits, begin Clarity if needed, request testing accommodations, and reserve required appointments. | Grade 6 and 9 students attend only visits that help them understand the ordinary school day. | Missing limited interview, playdate, STAR, or assessment capacity even though January is months away. |
| November | Finalize the list; confirm every school’s current testing rule; draft parent statements; give the current school one clean matrix of forms and due dates; prepare self-employment or two-household aid documents. | Older students draft their own answers in short blocks. Keep adults out of the sentence-level writing. | Overloading recommenders with separate, piecemeal requests. |
| December | Submit the earliest files: Head-Royce preliminary forms are due December 4; SFFS K is due December 18; MCDS K publishes December 27. Audit delegated forms before winter break. | Finish authentic essays or video responses before holiday fatigue; keep school and sleep intact. | Treating “delegated” as “received.” |
| January 1–8 | Protect the major cluster: January 5 at UHS, Menlo, Harker, Castilleja, Marin Academy, and Branson; January 7 at MCDS; January 8 at Head-Royce and Athenian. Confirm aid separately. | Complete only the student-controlled portions, visits, or interviews still scheduled. | A paid application with an unscheduled required step. |
| January 9–February | Track STAR, ISEE/SSAT, school assessments, K playdates, student visits, UHS inquiry activities, teacher forms, current-year grades, and aid uploads. Preserve confirmation emails and ask about any unresolved checklist item. | Show up rested and ordinary. A visit is a mutual meeting, not a rehearsed performance. | Assuming a school-sent item is late-proof or visible instantly. |
| March 5–12 | Watch the exact track: San Domenico boarding March 5; Athenian boarding March 10; many K–8 decisions March 11; many high-school decisions March 12; BASIS Fremont March 17. | Keep decision release away from a public family spectacle. Let the child absorb one result at a time. | Opening the wrong portal or applying the wrong division’s date. |
| Decision week | Read award, contract, deposit, refund, transportation, calendar, and support terms. Attend only useful admitted events. Replies in this set range across March 17–19, with boarding and non-common cycles later. | Share observations and preferences without carrying budget or adult status anxiety. | Letting the deadline, not family values, make the decision. |
| After enrollment | Pay one deposit, release other places, withdraw graciously, send final records, complete health forms, confirm course placement and support, select transportation, and calendar orientation, sports, and summer work. | Close the old-school chapter well and begin the new one without turning admission into identity. | Assuming the enrollment contract completed onboarding. |
The portal stack
A shared login reduces typing; it does not merge requirements.
Ravenna
Verified fact: Ravenna is the dominant portal in this representative set. Schools use it to expose checklists, register events and appointments, delegate recommendations, upload family materials, track status, and post decisions. Menlo, Harker, SFFS, Head-Royce, Athenian, MCDS, Marin Academy, Branson, UHS, and San Domenico all direct Fall 2027 applicants there.↗
Editorial opinion: Use one durable adult email as the portal manager, a password manager, and a separate family calendar. Add the second household’s real contact details rather than forwarding every message through a child. Export or screenshot each final checklist because a green mark is evidence of portal state, not a substitute for the school’s written requirement.
SAO
Verified fact: The Standard Application Online lets a family reuse core biographical information, parent statements, student essays, recommendations, and transcripts across participating schools. SAO’s own guidance warns that schools can still have extra requirements.↗↗
Verified fact: San Domenico accepts Ravenna or SAO, but an SAO family must still create a Ravenna account for events and decisions. Its international page adds grade-specific transcripts, English testing where applicable, and an interview. Submitting both full applications would create duplication, not extra consideration.↗
Direct or school-labeled portals
Verified fact: Some schools begin with an inquiry that produces a school application link. Chinese American International School’s live process page describes an emailed portal link and direct handling of common evaluation forms. That same page says “2026–2027” beside January and February 2027 dates, a visible mismatch.↗
Unknown: Do not “correct” an official page silently. Ask CAIS which cycle and deadline the page intends, then store the dated answer. More generally, the source of truth is the school’s current checklist and direct message—not the brand name above the login box.
Record portal, preliminary/application due, appointment gate, school-materials due, testing/assessment due, aid due, and decision/reply. Add an owner, current status, confirmation, and “last checked” date. “Application submitted” is only one column.
Testing without folklore
Fall 2027 has school-run, STAR, ISEE/SSAT, test-free—and unknown.
Verified fact: ERB maps ISEE levels by the grade a child is entering: Lower for Grades 5–6, Middle for Grades 7–8, and Upper for Grades 9–12. Its family system is also where families register and apply for accommodations. That mapping does not mean a particular school requires ISEE.↗↗
| School / grade | Verified current rule | Parent-first response |
|---|---|---|
| SFFS · Kindergarten | Two-hour supervised playgroup plus brief individual teacher time. | No coaching; describe it simply and keep the day ordinary. |
| SFFS · Grades 5–8 | No standardized test; visit includes group activity, teacher meeting, reading and math assessment. | Do not buy an ISEE because another school wants one. |
| Menlo · Grades 6 and 9 | School-administered STAR reading/math plus writing sample; no local ISEE/SSAT substitution. | Book one date; request documented accommodations by January 5. |
| Harker · Grade 6 and Grade 9 | Accepts ISEE or SSAT taken after August 1; reads first without scores; only first submitted set considered. | Choose one reasonable administration and do not send impulsively. |
| Castilleja · Grades 6–11 | Does not require, accept, or add ISEE/SSAT; uses an online writing sample. | Respect “test-free”; do not send scores anyway. |
| Marin Academy · Grade 9 | Test-free; standardized admissions scores have not been considered since 2021–22. | Put energy into authentic student work and required conversation. |
| San Domenico · K–8 | School visits/assessments; current international page says no SSAT or ISEE. | Follow the grade checklist; English evidence may still apply internationally. |
| UHS · Grade 9 | Current FAQ’s no-ISEE/no-SSAT answer is still labeled the 2026–27 admission season. | Unknown: get the Fall 2027 answer in writing. |
| Head-Royce · Grades 2–12 | Process lists ISEE, but the explanatory sentence names Fall 2026 applicants. | Unknown: confirm before registering or sending scores. |
Editorial opinion: Test preparation should never make a child less available for school, sleep, or an honest visit. Learn the format, use official free samples, secure necessary access arrangements, and stop. A score is one school’s requested data point, not a diagnosis or a verdict.
The current-school dependency
Records and recommendations are delegated work—not parent uploads.
Verified fact: The common-form idea is real, but grade-level requirements differ. SFFS K requests a current teacher evaluation; its middle-school process requests evaluations and the last two years of records. Menlo Grade 6 asks for current and previous teacher recommendations plus principal/counselor and two years of transcripts. Menlo and Harker Grade 9 ask for current English, current math, principal/counselor, and current/prior records. Marin Academy uses the BAIHS activity form, current English and math, principal or counselor, two prior years plus current transcript, and a graded writing sample.↗↗↗↗
Editorial inference: The quiet deadline is often the sending school’s internal release date. A January 5 family deadline and January 31 school-material deadline do not authorize a family to surprise teachers on January 4.
- In September, ask the current school who coordinates private-school records and whether teachers use Ravenna, SAO, common forms, or a single internal questionnaire.
- After the list is real, send one matrix with school, applying grade, form, portal, and actual due date. Follow the sending school’s request window.
- Invite only the required current teachers. Never substitute a flattering coach, family friend, or former teacher unless the receiving school explicitly permits it.
- Track “requested,” “recommender opened,” and “school received” as different states. Send one courteous reminder through the proper channel.
- If the current school cannot produce a named item—common in some public, international, homeschool, or trimester systems—ask the receiving admission office for an approved alternative.
Unknown: Portals do not always expose confidential content or immediate processing. A family is responsible for a complete checklist, not entitled to read the recommendation.
Interviews, tours, and roles
The format tells you who should prepare—and who should just arrive.
| Format | Current example | Right-sized role |
|---|---|---|
| Adult conversation | SFFS asks parents/guardians to meet together; MCDS asks primary parents/guardians to join one Zoom interview per child. | Adults explain the child and ask factual fit questions; the child carries no adult message. |
| Required campus tour | MCDS labels its parent/guardian campus tour a required step for Fall 2027. | Calendar it before the application deadline; ask for language or access support early. |
| Young-child visit | SFFS uses a K playgroup; MCDS uses K screening and playdate; San Domenico publishes a K readiness playdate. | One calm explanation, normal sleep and breakfast, no rehearsal. |
| Middle-school visit | SFFS, MCDS, Menlo, and San Domenico combine school experience with structured activities or assessment. | Student engages; parent handles transport and does not debrief every answer. |
| Individual interview | Castilleja requires a student interview; Branson and Menlo register through Ravenna. | Student practices introducing interests—not memorizing a brand statement. |
| Group inquiry | UHS uses groups of no more than four applicants working toward a common goal. | Listen, contribute, and make room; there is no “winning” the group. |
| Choice of interview experience | Marin Academy offers 1:1 conversation, design workshop, or passage discussion. | Choose the format in which the student can be genuinely present. |
| Asynchronous family video | Menlo and Harker use Kira as part of the current application. | Adults own their answers; do not script the child into a family production. |
Editorial opinion: Adults should prepare logistics, accurate facts, and real questions. Grade 9 students should own their voice and written work. Grade 6 students should gradually take the lead in conversation. Kindergarten applicants should be protected from the idea that they are competing for adult approval.
The parallel application
Financial aid runs beside admission and can close earlier.
Verified fact: In this current sample, UHS, Menlo, Castilleja, Marin Academy, Branson, Head-Royce, MCDS, Athenian, and San Domenico use Clarity for aid or indexed tuition. Dates vary: January 4 Head-Royce; January 5 at UHS, Menlo, Castilleja, Marin Academy, Athenian, Branson, and San Domenico; January 7 at MCDS. Current-year tax or wage documents can be due later.↗↗↗↗↗↗
Editorial inference: A complete admission file does not preserve an incomplete aid request. Start in autumn if a family has two households, self-employment, equity compensation, trusts, unusual assets, foreign income, recent job loss, or a pending move. Ask the aid office what explanation and documentation it wants; do not omit a complexity because the platform has no elegant box.
Editorial opinion: Compare the whole family year: tuition and required fees, deposit, transportation, lunch, care, devices, books, trips, athletics, arts, tutoring, and lost work time. MCDS, for example, explicitly lists many included items and additional indexed supports. Another school’s tuition number may cover a different bundle.↗
Awards are often released with decisions. If affordability is necessary, the aid deadline is part of the application calendar, not a later negotiation phase.
Decisions through enrollment
A short reply window is manageable when the questions are already written.
Verified fact: Current high-school pages commonly separate aid and full-tuition contracts. UHS and Branson publish March 18 aid agreements and March 19 full-tuition agreements. Menlo publishes one March 19 deposit deadline. SFFS publishes March 17 for K–8. MCDS’s pages conflict, though its aid page says March 17.↗↗↗↗
Before March, make a blank comparison with identical rows: signed contract deadline; nonrefundable deposit; net tuition; what the award covers; renewal process; transportation route and late bus; start/end time; care; and books, devices, and trips.
Add learning support, activity pickup, calendar conflicts, course placement, and the child’s observations. Keep “admitted?” blank until decisions arrive.
- Read the entire enrollment agreement and award before clicking. Record withdrawal, refund, tuition-insurance, and deposit terms.
- Ask unresolved factual questions immediately. Use admitted-family events to test ordinary life, not to collect reassurance.
- Re-run morning, afternoon, and activity transport. Bay crossings, employer shuttles, and hybrid-work assumptions can all change.
- Let the child name what felt intellectually, socially, and practically right without making them responsible for cost.
- Accept one place by the controlling deadline, save confirmation, release others promptly, and keep wait-pool choices separate from the signed enrollment plan.
After enrollment, request final records, complete medical and emergency forms, confirm learning plans and testing documentation, and choose the payment plan. Register transportation and care. Resolve math and language placement, orientation, and sports. Close the current school relationship with gratitude.
The durable Bay Area strategy is a family operating system.
The evidence supports a simple plan: distinguish the K–8 and high-school clocks, identify true entry grades, build around a workable geography, and let each live school page control the details.
Recheck every portal, test, form, visit, aid date, decision, and reply item that is old, contradictory, or hidden after login.
Our strongest opinion is that the adults should absorb the complexity. Older students deserve authorship. Younger students deserve normal childhood. A thoughtful process can reveal fit, but no admission result measures a child’s promise or a family’s worth.
Confidence is high in the cited Fall 2027 school dates, published opening counts, and stated processes as of September 2, 2026. It is intentionally low where association pages are stale, school pages conflict, or the next answer is available only inside Ravenna. We do not fill those gaps with lore.
