This page is the calendar: what happens when, school by school, and what to do if you start late. For how admission works, including entry points, portals, testing models, visits, and weighing offers, read the Seattle private-school admissions guide.

Every school has three clocks, and “submitted” only stops one.

  1. Application clock: parent and student forms, fee, and school supplements.
  2. Completion clock: records, recommendations, testing, interviews, visits, and specialist reports.
  3. Affordability clock: the aid application, tax documents, noncustodial information, and later contract.

Use one row per school and one column per requirement. A green “submitted” badge is not proof that teacher forms arrived or an aid file is complete. Ask admissions which missing items prevent review. Schools are assembling a cohort while teachers are handling many requests; give recommenders notice and never ask to read their letter.

When official pages disagree

Eastside Prep’s current material has shown a Feb. 4 / Feb. 5 aid discrepancy. File by the earlier date and request written confirmation. A conflict is a reason to be conservative, not a license to choose the convenient version.

Do the scarce work first.

WindowWhat happensParent move
August–SeptemberAnnie Wright opens in late August; many Aryval schools open in early September. Villa lists Sept. 1, Evergreen Sept. 3, and Hamlin Robinson Sept. 15.Create accounts, request waivers, map testing and aid, and reserve required child visits.
October–NovemberOverlake opens Oct. 2. Tours, open houses, interviews, class visits, K activities, and public-information events begin to stack. Seattle Prep’s HSPT registration closes Nov. 30.Complete required events before optional marketing events. Keep one weekend free each month.
DecemberSeattle Prep tests Dec. 5–6 and recommends testing before year-end; Holy Names also requires the HSPT for Grade 9. Records and recommendations move. Holy Names aid is due Dec. 31.Protect grades and sleep. Treat the Holy Names aid date as hard; the school says late files will not be considered for its own aid. Audit every portal before winter break.
Jan. 5Seattle Prep and Holy Names Grade 9 applications are due; Prep specifies 8 a.m.Submit before the holiday break if possible. Do not let the PSIS date hide this gate.
Jan. 14PSIS common application date and many school deadlines. Bush aid is also due.Confirm completion, not merely submission. Save PDFs and confirmation emails.
Jan. 23Annie Wright application and new-family aid deadline.Verify whether the application is for day, five-day boarding, seven-day boarding, or international entry.
Feb. 1–5Bertschi and Evergreen aid close Feb. 1; Lakeside, UPrep upper, Overlake, and Hamlin Robinson publish Feb. 4. Eastside Prep’s pages conflict between Feb. 4 and Feb. 5. SAAS upper decisions arrive Feb. 5.Check each aid portal and tax-document status. Do not assume an admissions portal shows aid completion.
Feb. 12–26Seattle Prep and Holy Names decisions arrive Feb. 12 (a separate Prep calendar shows Feb. 11 for financial determinations); PSIS upper decisions arrive Feb. 19. SAAS, Prep, and Holy Names replies are due Feb. 25; PSIS upper replies Feb. 26.Compare written contracts, aid, support, and transport. Ask for an extension if calendars collide.
Mar. 5–26SAAS middle decisions arrive March 5, with replies March 25. PSIS lower and middle decisions arrive March 19, with replies March 26; Hamlin Robinson and Villa publish the same March 19 and 26 dates.Revisit with ordinary-day questions. Release places promptly after deciding.

Some families run on an earlier private calendar.

How PSIS, Aryval, Ravenna, and each school’s portal fit together is covered in the admissions guide. One calendar exception matters here.

UPrep’s separate early path for current-family and employee siblings is a reminder that even a school’s own calendar can fork. It applies only to Grades 6 and 9, does not guarantee admission, and moves from an Oct. 8 initial step through testing and assessment to a Dec. 17 decision and Jan. 6 contract deadline.

A non-sibling applicant should not use those dates; a sibling family should not assume the relationship substitutes for fit.

Choose the grade before you build the calendar.

What each entry grade asks of the child, and where published seats are, is covered in the admissions guide. The calendar above works the same way for all three grades.

The full-file deadline is often later than the family-form deadline.

Lakeside is the clearest example. Its preliminary application and PSIS family forms are due Jan. 14, but the complete file, including testing, recommendations, and the interview or student activity, is due Jan. 28. It accepts SSAT or ISEE scores from testing between Sept. 1, 2026 and Jan. 28, 2027.

Seattle Prep requires the HSPT for Grade 9 and publishes Dec. 5 and 6 test sessions after a Nov. 30 registration deadline, so a Catholic Grade 9 applicant must register in November.

Which test each school wants, and how visits and interviews work, is in the admissions guide.

Ask the sending school early.

Request records and recommendations early enough for school staff to work normally, well before the December break. If a form goes missing, use the recovery steps below.

Aid can be due with the application, after it, or on another date by division.

Build a separate affordability row even when a school says admission and aid are considered independently. Lakeside’s prospective-family Clarity deadline is Feb. 4, 2027. Bush opens aid in September and closes it Jan. 14. Seattle Academy and Northwest ask prospective families to complete aid by the admissions deadline.

Overlake lists a Feb. 4 date. Evergreen publishes Feb. 1 for new-family aid.

UPrep’s current tuition page lists Feb. 4 for Upper School aid and March 4 for Middle School aid. That middle date is unusually close to the March 19 decision and should be confirmed rather than silently normalized.

Eastside Prep’s pages have shown Feb. 4 and Feb. 5. In both cases, file by the earlier plausible date and save written confirmation.

The full affordability workflow—including two households, business owners, complete cost, appeals, and contract exposure—is in the Seattle aid and decision guide. For this calendar, the rule is simpler: no application is complete for an aid-dependent family until admissions and aid both show complete at the school.

A recovery plan is specific, prompt, and honest.

You found the school after Jan. 14

Ask whether the target grade will accept a late or rolling file, which requirements remain possible, and whether aid is still available. Northwest says it may review after its priority date if space remains; that is permission to ask, not evidence of a seat or grant.

A teacher form is missing

Check the address and platform, then ask admissions whether to resend. Do not recruit an unauthorized substitute or pressure the teacher to work overnight. Preserve proof that the request was timely.

The test date disappeared

Tell the school before the deadline, provide the earliest available registration, and ask what alternative it accepts. “Test-flexible” at one school does not waive a required HSPT, SSAT, ISEE, cognitive test, or school assessment elsewhere.

The aid file is incomplete

Upload the available documents, identify the exact missing item, and ask how the school handles an extension. A filed tax extension, business return, or nonparticipating parent is a fact to explain—not a reason to leave the school guessing.

A visit conflicts with disability or illness

Request the access or reschedule directly. Do not send a sick child to prove interest. Ask how an alternative format changes the review, and obtain the answer before assuming it is neutral.

You are moving into Puget Sound

Separate application eligibility from commute certainty. Finish virtual or remote steps where allowed, keep schools informed, and avoid choosing housing solely from a campus pin before testing bridge, ferry, transit, and late-day routes.

The decision dates collide

Send the earlier school the other school’s written date and ask for a brief extension. If the answer is no, decide with the offer and aid actually in hand. A hoped-for PSIS, Catholic, public, or specialist result is not yet a choice.

The answer is wait pool

Follow the school’s opt-in instructions, state genuine continued interest once, and update only material facts. Ask whether another school’s contract deadline changes anything. Enroll in a workable option by its deadline rather than making the child live inside an uncertain list.

Decision week is another research week.

Build the comparison sheet before the first decision date, because SAAS upper decisions arrive Feb. 5 and the first replies are due Feb. 25. Record for each offer the date when the deposit becomes nonrefundable. What to compare is laid out in the admissions guide.

If a public assignment, charter lottery, or specialist decision comes later, state the conflict early. A school may say no to an extension; it should still be asked directly. Do not place multiple deposits as a silent strategy unless you understand the contracts and have told the schools what you are doing.

The fastest useful revisit follows the child’s likely day. Sit in a class if offered, locate the support office, ask when the desired activity ends, and run the return route.

For Annie Wright, ask the question three times: as a Tacoma day family, a five-day family going home Friday and returning Sunday, and a seven-day family whose weekends belong to the residential program.

Our read

Our read: calm sequencing is a genuine advantage.

Seattle families often focus on the essay because it feels editable. The larger risks are logistical: a missed Catholic deadline, an incomplete aid file, a required visit booked too late, or a commute tested only on Sunday. Finish the scarce and irreversible steps first. Then let the student’s ordinary, specific voice do its work.

For how each school evaluates the file, read the Seattle private-school admissions guide. Then use the Seattle list-building guide to narrow the field, then the aid and decision guide to compare complete family cost.
