Gateway can link forms; SAO is designed around common forms.

Gateway offers current English, current math, principal/counselor, personal, special-interest, grade, and possible custom forms. A recommender receives separate requests, then may link one response, copy and tailor it, or unlink a version. Auto-Submit can deliver an existing form to a later-added school without a new notice.

SAO describes standard recommendations and records as reusable across participating schools. A school may add its own form. Submitted SAO recommendations are final. Placement counselors may have broader Advisor Workstation access than a Gateway adviser, whose view is limited to checklist status.

The duplicate-request rule

Put every dual-platform school on one side before inviting anyone. Loomis and Middlesex expressly say to use one platform only. If both platforms remain necessary, warn teachers that two different forms will arrive.

“Ask the teachers who know your child best” is incomplete advice.

Current teachers are the dominant rule, not a universal one. Hotchkiss permits last-year or current English and mathematics teachers. Lawrenceville allows specified neighboring subjects. Choate has a PG exception. Taft’s public page does not resolve the current-versus-prior question; the live checklist or Admission must.

Do not turn an eighth-grade teacher into an unpaid portal manager.

  1. September: finalize the likely school list and ask the counselor, registrar, or placement director for the current school’s process.
  2. Before invitations: ask each recommender personally and confirm the email address they want used.
  3. October: send requests only after teachers have enough current-year evidence. Exeter opens recommendation and transcript work in October.
  4. After the first marking period: request current grades. Taft tells families to provide online access after November 15.
  5. Early December: reconcile every platform checklist with every school portal.
  6. January: submit family-controlled pieces on time even when a school-controlled form remains pending. Notify Admission rather than assuming grace.

Give the school office one logistics sheet: legal name, applying grade, chosen platform, receiving schools, deadlines, form owners, and one parent contact for administration. Do not attach adjectives, talking points, or a draft letter.

Gateway’s grade forms recognize that one official may manage every record or several people may divide the work. A student new to the current school should request prior grades from the prior school.

Do not promise families a recommendation right they may not have.

Gateway’s Candidate Profile says application material received from any source is confidential and not disclosed to the candidate or family, subject to official-use discretion. Gateway advisers can see status, not form contents.

FERPA applies to educational agencies and institutions receiving applicable U.S. Department of Education funds. The Department says private and parochial K–12 schools generally do not receive those funds and generally are not subject to FERPA. A current public school may be covered even when the receiving boarding school is not.

We did not find current public applicant-side SAO waiver language. Read the live acknowledgment rather than importing college-admission assumptions or an old screenshot. Save the submitted terms.

Add a recommender only when the evidence is genuinely different.

Gateway’s Personal Recommendation is for an unrelated adult who knows the applicant well, such as another teacher, employer, volunteer director, clergy member, or family friend. Coaches and arts instructors fit the Special Interest form better.

The Special Interest form asks athletic recommenders for positions, event results, statistics, awards, and comparative ability. Arts recommenders address talent, level, role or chair, repertoire or medium, and likely advanced participation.

Potential recommenderUse whenSkip when
CoachThey can verify level, role, coachability, team behavior, and growth. They know only statistics or will repeat the activities list.
Arts instructorThey can place work in a real technical and developmental context. They offer only praise or have worked with the student briefly.
Employer or service supervisorThey observed responsibility, judgment, initiative, and response to feedback. The experience is ceremonial or too limited for specific evidence.
Prominent family connectionOnly if they have substantial first-hand experience with the child. The value is mainly the adult’s title or relationship to the family.

Ask what was reviewed, who reviewed it, and what remains.

Andover, Groton, Hotchkiss, Deerfield, Middlesex, and other schools publish specific athletic routes. Groton says information will be shared with coaches and that it will not contact a current team or coach without family consent. A form is prospect identification, not a place in the class.

No current public source we reviewed establishes one universal boarding-school pre-read process. If a coach uses that word, ask whether an admission officer reviewed the transcript, testing, recommendations, conduct history, or only an athletic profile.

An authority ladder—not an admission rubric

Form submitted → coach replies → coach discusses team fit → Admission provides defined preliminary feedback → official decision appears in the applicant portal. Every step before the last may be useful and still be nonbinding.

  • What exact material has Admission reviewed?
  • Is the feedback athletic only, or an official preliminary assessment?
  • What academic, conduct, application, entry-grade, and aid conditions remain?
  • What changes if the coach leaves or the roster need changes?
  • Who in Admission can confirm the meaning in writing?

Make the evidence usable before making it impressive.

Routes differ. Loomis prefers Vimeo, Hudl, or YouTube and rejects Google Drive or social-media pages. Andover accepts highlight links. Groton accepts highlight, league, or results links. St. Paul’s asks for a recent game or competition sample. Deerfield and Hotchkiss use their own portal or interest forms.

  • Identify the student, jersey number, position or event, date, opponent or competition level, and verified metric.
  • Test every link in a signed-out browser and keep it active through decision day.
  • Provide full-game or full-competition footage when asked.
  • Label a highlight reel as a highlight reel. Do not imply that edited clips show every possession or attempt.
  • Use current coach contact information only with the student, parent, and current program’s knowledge.

One cloud folder is not a portfolio strategy.

Deerfield routes dance, music, and theater through SlideRoom and opens it September 15, 2026. Athletic media uses another route. Hotchkiss also uses SlideRoom for current arts categories. Live SlideRoom fields control file size, codec, image resolution, and duration when the public page does not.

St. Paul’s publishes unusually precise examples: a one-minute acting monologue or musical-theater song; 5–20 visual-art images with no more than 300 words of context; and one or two music selections totaling 6–10 minutes. Treat those as St. Paul’s rules, not national defaults.

Andover’s arts form collects discipline, experience, instructor, awards, and links. Groton wants links through the portal rather than original art, discs, or mailed media. Taft accepts web presentation links. Middlesex offers an Arts Interest Form or department contact.

Our read

A portfolio should answer a level question—not prove the child has many files.

Select work that shows current ability, range where relevant, sustained practice, and enough process for a specialist to understand development. Skip work the applicant would not want a teacher in that department to discuss closely.

A form can be filled out without being finally submitted.

Gateway says recommendation status updates immediately after online submission. If the recommender says it is done but the checklist is empty, the form may be saved rather than submitted. A school portal may also lag while the platform import is matched.

  1. Confirm the student’s legal name, current school, and applying grade.
  2. Check both application platform and school portal.
  3. Ask whether the recommender’s dashboard says Submitted, without asking for a copy.
  4. Wait the receiving school’s published processing period.
  5. Email Admission with form name, recommender, submission date, platform, and a status screenshot.
  6. Do not resend or duplicate unless the school asks.

There is no universal grace period. Middlesex distinguishes the January 15 family deadline from a February 1 complete-file gate. Deerfield may consider late files without guaranteeing the common decision date. Ask rather than infer.

Where to verify and keep reading

We favor direct links to the exact page or document a family may need next. Access dates matter because admissions, tuition, leadership, and programs change.
